Damage
policy

Last updated 7 November 2026.

This policy applies to all bookings of the Production Room and the Vault Main Room. By booking, you agree to this policy and authorise Vault to charge the card on file to your account for any damage, loss or cleaning covered below.

Your responsibility

The person who made the booking is responsible for the room, the equipment and everyone they bring into the session. Any damage caused by you or your guests is charged to your account.

Checking the room at the start of your session

Check the room and equipment when you arrive. If anything is damaged, missing or not working, report it to us within the first 10 minutes of your session with a photo. If nothing is reported, we will treat the room as being in full working order when you arrived.

What we charge for

  • Accidental or deliberate damage to equipment, furniture or the room, including damage from drinks, dropping or moving equipment, or misuse

  • Missing items, such as cables, headphones, needles or anything else supplied with the room

  • Damage to doors or locks from pushing or pulling a door while it is locked. Every door at Vault locks itself behind you, so you must unlock it first: enter your code on the way in, turn the knob on the lock on the way out

  • Extra cleaning if the room is left in a state that needs more than our standard turnaround clean (cleaning fee: £50)

We do not charge for normal wear and tear from proper use.

How charges are worked out

  • Repairable damage: the actual cost of the repair, including parts and labour

  • Damage beyond repair or missing items: the cost of replacing the item with the same or an equivalent model

  • Loss of use: if the damage means the room cannot be booked, we may also charge for confirmed bookings we have to cancel as a result

All charges reflect the real cost to Vault. They are not penalties.

How you will be charged

  1. We check the room after every session and review CCTV where needed.

  2. If we find damage, we contact you within 48 hours with photos, CCTV stills where available, and a quote or invoice.

  3. You have 7 days to dispute the charge by replying with your reasons. We will review it fairly before taking any payment.

  4. If you do not dispute it, or the dispute is not upheld, we charge the card on file. Large repairs may be charged once the final invoice is received.

If a payment fails

If we cannot take a valid damage or cleaning charge from the card on file:

  1. We will retry the payment within 3 days.

  2. If it still fails, we will email you a secure payment link so you can pay by another card. Payment is due within 7 days.

  3. Your account will be locked and no new bookings can be made until the balance is paid. Any future bookings may be cancelled, and the credit from those bookings may be used towards the amount owed.

  4. If the balance is still unpaid after 14 days, we will send a final written demand.

  5. If it remains unpaid after that, we may recover the debt through the courts, including the small claims process, and add any reasonable recovery costs the court allows.

You must keep a valid payment card on your account while you have bookings with Vault.

Reporting damage you caused

Accidents happen. If you report damage yourself during or straight after your session, we only charge the cost of the repair or replacement. If damage is not reported and we find it later, a £25 admin fee is added.

Rules that protect the equipment

  • Always unlock a door before you open it. Doors lock themselves behind you, and forcing a locked door damages it

  • No drinks on or near the decks, mixers, controllers, monitors or desk

  • No food in the rooms

  • Do not move, unplug or rewire installed equipment

  • Do not connect your own equipment in a way that could damage ours

  • Report any faults straight away and stop using faulty equipment

Suspensions and bans

We may suspend or close the account of anyone who damages equipment deliberately, repeatedly causes damage, does not pay a valid damage charge, or breaks these rules.
