This policy explains what personal information Vault Recording Studios Ltd collects, why, who we share it with and your rights. We are the data controller.

Vault Recording Studios Ltd, company number 17289050, 3 Birchall Street, Liverpool L20 8PD. Email info@vaultrecordingstudios.com with any privacy question or request.

What we collect

  • Your account: name, email address, mobile number and a password. We store the password in scrambled (hashed) form and can never see it.

  • Identity check: when you verify your ID, Stripe collects a photo of your ID document and a selfie. Stripe keeps these. We only receive the result of the check and your verified name.

  • Payments: Stripe holds your card details. We only see the card type and last four digits.

  • Bookings: the room, date, time, the names of any guests you add, what you paid, any Vault credit, and the door codes created for your session.

  • Damage and charges: details of any damage, cleaning or missing items, with photos and quotes, under our Damage Policy.

  • CCTV: we record CCTV at the studio to protect people, equipment and the building, and may review it when checking a room after a session.

  • Recordings: if you book the recording add-on, we film your session and capture the audio to produce your video and stems.

  • Messages: anything you send us through the contact form or by email.

Why we use it

  • To provide your booking (contract): creating your account, taking payment, sending confirmations and door codes, and managing cancellations and credit.

  • To keep the studio safe (legitimate interests): checking ID before self-entry, CCTV, and recovering the cost of damage as set out in our Damage Policy.

  • To meet legal duties (legal obligation): keeping financial records for tax and accounting.

  • To feature your set (consent): we only publish your recording on Vault’s YouTube, Twitch or artists page with your agreement. You can withdraw it at any time by emailing us.

Who we share it with

We don’t sell your data. We use these services to run Vault, and they only use your data to provide their service to us:

  • Stripe: identity checks and payments.

  • Cloudflare: website hosting and our booking database.

  • Resend: sending booking emails.

  • igloohome: creating the door codes for the studio locks.

  • Google Fonts: the website’s typefaces load from Google, which can see your IP address.

Some of these providers may process data outside the UK. Where they do, they use the legal safeguards UK law requires, such as approved contract terms.

How long we keep it

  • Account details: while your account is open. Ask us to close it at any time.

  • Booking and payment records: 6 years, for tax and accounting.

  • ID check results: kept by Stripe under Stripe’s own retention rules.

  • Recording add-on footage: your download link works for 30 days, then the footage is deleted from our cloud storage. The studio’s own copy is deleted within 14 days of upload, except anything we are editing for you or have your agreement to publish.

  • CCTV: overwritten after a short period, unless needed for a damage claim or incident.

Cookies

We use one essential cookie to keep you logged in to your account. We don’t use advertising or tracking cookies.

Your rights

You can ask to see the data we hold about you, correct it, delete it, restrict or object to how we use it, or get a copy to take elsewhere. Email info@vaultrecordingstudios.com and we’ll reply within one month. Some records, such as payment history, we have to keep by law.

If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk. We’d appreciate the chance to sort it out first.
